Position
Summary:
? Schedules in-person and virtual meetings and maintains the company calendar utilizing client relationship management software.
Supports the efforts of financial advisors in providing services to clients.
Assists in digital marketing and coordination of webinars and seminars.
Performs general office, administrative and clerical functions.
Position can advance to client service associate and paraprofessional advisory role if desired.
Responsibilities:
Schedule and confirm appointments.
Utilize customer relationship management software to maintain calendar, record personal information and track follow-up activities.
Meet and greet visitors to the office.
Answer and direct incoming phone calls.
Review email and text messages to ensure that the team is aware of communications that require follow-up.
Assist financial advisors in preparing portfolio analyses, financial plans, illustrations, and projections for client meetings and prospect proposals.
Under supervision, assist in processing account activity and the implementation of financial recommendations.
Follow up to ensure that client services are completed on a timely basis.
Work with clients to address service requests, resolve administrative issues, follow up on service commitments, and respond to routine client inquiries.
Coordinate onboarding of new clients including collection of information and processing applications.
Assist in the administration of financial education programs including live and recorded webinars and in-person seminars.
Contact registrants to confirm attendance and to schedule follow-up phone calls and meetings.
Assist in digital marketing, maintenance of company website, and providing administrative support for email campaigns, blogs, and newsletters.
Perform general office and clerical tasks including filing, data entry, maintaining office equipment, ordering supplies, and occasional local errands (bank, post office, etc.
).
Requirements:
High school diploma or equivalent is the minimum education requirement.
A minimum of two years of office experience.
Excellent communication and interpersonal skills including the ability to quickly make people feel relaxed and comfortable.
Good telephone etiquette.
Professional and neat personal presentation; friendly and pleasant personality.
Attention to detail, ability to multitask, capable of working cooperatively with colleagues to support company objectives.
Computer skills including proficiency with MS Word and Outlook; working knowledge of Excel and PowerPoint a plus.
Compensation and Hours:
Position is full time, Monday through Friday.
The standard workday starts at 9:
00 a.
m.
and runs to 5:
30 p.
m.
(with a half hour for lunch).
Compensation is based on an hourly rate for each hour worked (excluding lunch breaks).
Payroll checks or electronic transfers are distributed bi-weekly.
You are entitled to two weeks of paid time off (PTO) per year.
PTO is earned ratably over the course of the year.
You are entitled to three weeks of PTO after five years of employment and four weeks after ten years.
You are entitled to ten paid holidays per year.
After six months of employment, you may participate in the NestEgg 401(k) Retirement Savings Plan by deferring a portion of your salary into the plan.
The company will provide a matching contribution of up to 4% of compensation (equal to 100% of the employee's contribution up to 3% of compensation and 50% of employee's contribution up to 5% of compensation).
All contributions are immediately vested.
Your compensation will be reviewed annually and may be adjusted based on your level of performance.
Adjustments are generally effective as of January 1st.
Employees hired in the second half of a calendar year will have their compensation reviewed and potentially adjusted on the second January 1st following their date of hire.
