Proposal Coordinator

Horizon Engineering Associates, LLP a leader in the Building Commissioning industry, is looking for a Proposal Coordinator to join our Marketing team in our Hauppauge, Long Island office. This position reports to the Proposal Manager.

Compile materials for proposals, ensuring the client's requirements are fully met. This involves fully comprehending RFP/RFQ requirements and conducting research for appropriate materials such as related project descriptions and resumes of project personnel.
Write portions of the proposal, including but not limited to, cover letter, introduction, project understanding, and project approach.
Conduct complete follow through of copying, assembling final proposal packages and tracking package delivery.
Complete various forms such as SF254, SF255, SF330, etc.
Register for prequalification to do business with vendors.
Produce presentations and work products for interviews/business development.
Provide general research for potential leads/new projects.
Participate with the Proposal Manager in the selection and recommendation of the appropriate projects and personnel to be included in proposal according to the Request for Proposal (RFP).
Proofread, edit and standardize proposal text for proper grammar, spelling, comprehension and style.
Participate in the implementation of strategic marketing initiatives to help meet Vision Statement and Corporate Marketing Plan goals.
Maintain RFP/proposal folders for all active accounts.
Participate in conferences, events and trade shows (as needed).
Create, implement and enforce a consistent company identity via document templates, letterhead, logo usage, etc.
Any special projects as required

Job Requirements
The ideal candidate will be a highly organized, creative and motivated self-starter who can lead proposal process from planning through delivery and possess:

A BA in English, Marketing, Communications or a related discipline
2+ years experience generating proposals within the A/E/C industry
Strong writing skills with the ability to edit and proofread technical documents
High proficiency in MS Word, Excel, PowerPoint, InDesign and Deltek Vision preferred
Adobe Photoshop and other graphics programs is a plus
Strong knowledge of proposal development process is preferred
Highly organized, creative, solution-oriented and team-focused
Must have strong interpersonal relations skills, communication skills, enthusiastic attitude, leadership ability and excellent work ethic
Flexibility to work with a variety of team members and dynamic project demands
Proven ability to work well under pressure in a deadline driven environment
Strong organizational and time management skills and proven ability to multi-task and prioritize

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
